Reporting cadence

Influencer reporting cadence: what to report daily, weekly, monthly and quarterly

Report on a rhythm set by when each number becomes reliable, not by the calendar alone. This guide gives five rhythms, a maturity calendar, a weekly note and the rules that stop numbers changing without a trace.

In short

  • Set the cadence by when each number matures. Day-3 views, 30-day orders and 90-day repeat purchase become reliable at different times, so label every line provisional or final.
  • Run five rhythms: a posting-day check, a 30-minute weekly read, a day-30 lock per campaign, a monthly programme review and a quarterly page. Each has one owner and one output.
  • Freeze the data at a fixed time each week and keep a change log, so a number never moves without a note beside it.
  • Delete any metric that has not changed a decision in a quarter. A smaller set read on time beats a long one read late.

Influencer reporting cadence works when it follows the maturity of the numbers. Check every post on the day it goes live, read a short note each week while a campaign runs, lock the data about 30 days after the last post, review the programme monthly and send leadership one page each quarter. Mark every figure provisional or final, and freeze the data at a fixed time so a number never changes without a note.

Our guide to reporting influencer marketing to leadership describes the monthly update, the quarterly page and the annual review. This post covers the layers beneath them: the posting-day check, the weekly read and the lock, and the rules that keep every layer consistent. It builds on the influencer campaign report template and the dashboard template, uses the definitions in how to measure influencer marketing ROI, and sits inside the wider plan in the complete guide to influencer marketing in India. The gap is common: 46.4% of surveyed Indian brands judge performance campaign by campaign, per a 2026 vendor survey covered by Campaign India, so there is rarely a rhythm above the campaign.

Why cadence follows maturity

A number reported too early will be corrected, and a correction costs more trust than the delay would have.

MetricUsable fromFinal whenWhy it moves
ViewsDay 1 to 3, as a projectionThe reading day you fixed, often day 30Views accumulate, and creator insights lag
Link visitsThe same dayThe click window you fixed, such as 7 or 14 daysLonger windows credit more visits
Code ordersThe same dayCode expiry plus a stated tailCodes redeem after the post
Orders net of returns and refusalsNot for a week or twoAbout 30 days after the last delivery (our working rule)Cash-on-delivery refusals and returns arrive for weeks
Survey-implied ordersWhen the survey window closesThe campaign windowAnswers keep arriving
Branded search72 hours after each postThe window fixed per formatThe baseline needs its own days
Repeat purchaseDay 30 at the earliestDay 90 or 180It needs customer age

A maturity factor for views

To report views before day 30, measure how much of a post's day-30 views it usually has by day 3, from your own last 20 or so posts. We know of no published India curve, so the numbers below are made up.

Share of day-30 views reached byLow postMedian postHigh post
Day 135%55%70%
Day 355%72%85%
Day 775%88%95%

If a Reel has 18,000 views at day 3, the projected day-30 figure is 18,000 ÷ 0.72 = 25,000, with a range from 18,000 ÷ 0.85, about 21,200, to 18,000 ÷ 0.55, about 32,700. Report "projected 25,000, range 21,000 to 33,000". Replace it with the actual at the lock.

Five rhythms

Each rhythm has one output. If a meeting produces no decision and no log, drop it. The checks in the post-campaign analysis checklist sit at the lock.

A weekly note, filled in

The note is eight lines because a longer one will not be read. Every figure carries its status. The decisions sit at the bottom, where a reader looking for the ask will find them. The forecast line compares with the range from forecasting influencer campaign results, so a miss is visible while there is still time to act.

A four-week campaign on this cadence

Read the calendar backwards from the lock, because everything before it exists to make the lock clean.

The monthly review agenda

Five items fit in 45 minutes. First, locked campaigns against their forecasts, including the forecast error. Second, the always-on trend on a rolling 90-day basis. Third, the test queue and any new library cards. Fourth, budget moves and commitments running into next month, such as retainers and usage rights. Fifth, risks, including open compliance flags and creators on watch. End with each decision, an owner and a date, and send the list within a day.

Freeze the data and log changes

A report built on a moving sheet cannot be reproduced next week.

RuleDetail
Freeze timePull data at the same hour each week and store it as a dated copy
One source of truthOne sheet or dashboard that every report reads
Change logDate, what changed, why and who, for every late correction
Restatement ruleIf a figure moves by more than a tolerance you set after freeze, add a line to the next note saying so
Tracking changesLog any new link, code or page change, so a drop can be traced to a break

One definitions sheet

Most disputes between a brand and an agency are definitions. Keep one sheet, sign it at the start and version it.

When to break the rhythm

Some events cannot wait for the next meeting. These are our working rules, so set your own.

Prune what nobody uses

Every quarter, list every metric on every report with the decision it last changed. If the answer is "none", delete it. A report with twelve numbers that drive decisions is stronger than one with forty that do not. The creator scorecard and the learnings library are where the numbers that survive pruning end up.

Mistakes to avoid

  • Reporting orders before the return window closes, without saying so.
  • Changing a definition mid-quarter.
  • Sending a separate copy of the data to each audience.
  • Meetings with no decision and no log.
  • Reporting projected views as actual views.
  • Treating a weekly read as a verdict on a creator whose results have not matured.
  • Letting a late correction pass unlogged.

If you want a cadence, a definitions sheet and a weekly note set up for your next campaign, send us a brief. Our influencer marketing strategy service covers the measurement plan behind it, and the rates guide covers the fees that sit in every cost line.

Frequently asked questions

How often should I report on influencer marketing?

Check each post on the day it goes live, read a short weekly note while a campaign runs, lock the data about 30 days after the last post, review the programme monthly and send leadership a page each quarter. The right rhythm follows when your numbers mature, so adjust it to your attribution windows.

What should a weekly influencer report include?

Spend against plan, posts live against plan, projected views with a range, tracked orders or leads marked provisional, one risk and up to three decisions needed. Put the status, provisional or final, beside every figure, and keep the note to one screen. Our dashboard template holds the numbers behind it.

Why do influencer numbers change after I have reported them?

Because they mature. Views keep accumulating for days, returns and cash-on-delivery refusals arrive for weeks, survey answers keep coming and repeat purchases need time. Mark each line provisional or final, and keep a change log. A number that moves silently destroys trust faster than a number that was marked provisional.

Who should get which influencer report?

The campaign team needs daily and weekly detail, finance needs monthly spend and the quarterly page, store or sales teams need the posting calendar, and leadership needs the quarterly one-pager. Everyone reads the same sheet, in different slices. Our guide to reporting to leadership covers that page.

What if my agency's report does not match my analytics?

Compare definitions first: the window, the attribution rule, whether returns are removed and which orders count. Most gaps are definitions, not errors. Keep one definitions sheet that both sides sign and version it. See UTM links for influencer campaigns for naming rules.

How do I report a campaign that is still live?

Project, do not claim. Scale the views so far by the share a post usually reaches by that day, show a range, and mark orders as provisional until your return window closes. Replace projections with actuals at the day-30 lock, and say so in the note.
